Groves Learning Organization is Hiring an Admissions Coordinator Near Saint Louis, MN

Admissions Coordinator – Groves Academy
Groves Academy is the leading school in the Midwest for students who have learning disabilities and attention disorders, as well as a center for literacy instruction, education, and advocacy. We are a beacon for students who want to learn but are challenged with a learning disability that affects academic achievement. We are seeking an Admissions Coordinator to serve as a key face and voice of Groves Academy for prospective families who are on a journey of discovery to find the best-fit learning solution for their child. This person will report to the Director of Admissions and participate in executing the annual strategy for Admissions and Enrollment.
Key Responsibilities
Executes the Admissions and Enrollment Process with prospective families after applications are submitted.
  • Reads and analyzes admissions applications and materials that include psychoeducational evaluations, IEPs, 504 Plans, and teacher feedback in order to determine if Groves Academy is the right placement for a child and communicates admissions decisions to families.
  • Schedule and execute calls or visits with families.
  • Participate in admissions informational events
  • Track application status and associated paperwork in Salesforce.
  • Collaborate with faculty and other Groves staff regarding families who are engaging in multiple Groves services in an effort to coordinate communication.
  • Leads and engages in ongoing communication with families throughout their journey to provide check-in and answers to questions.
  • Collaborates with other providers and Groves Academy faculty regarding the student.
  • Answers questions regarding tuition and affordability at Groves including financial aid options.
  • Conducts phone calls, tours, and events for prospective and re-enrolling families.
Develops a process and executes visit days for all students including:
  • Coordination, scheduling, and communication with Division Directors and faculty
  • Provides all pertinent visit days materials to faculty.
  • Communication with family
  • Coordination of visit day buddy
  • Administration of applicable screening testing
  • Inform the Director of Admissions of the visit day schedule
  • Collection and analysis of teacher feedback
  • Participates in new parent orientation.
  • Lead and execute new student orientation
Executes re-enrollment process and communication
  • Collaborate with the Head of School and Director of Admissions to create and execute a timeline for re-enrollment dates and communications.
  • Follow up with families to confirm re-enrollment contracts are signed.
  • Arrange meetings with key stakeholders and families needing deeper re-enrollment discussion.
  • Participate in the coordination and execution of division move-up days.
  • Collaborate with Transitions Advocate in order to maintain an accurate re-enrollment pipeline.
Leads and executes the Student and Parent Ambassador groups and Admissions events
  • Plans and executes admissions informational and recruitment events.
  • Facilitates application process and interviews for prospective student ambassadors
  • Holds weekly student ambassador meetings where students are mentored and taught how to be effective ambassadors for our organization.
  • Identifies and cultivates relationships with parents who can serve as admissions ambassadors
  • Schedules parent ambassadors to attend admissions events throughout the year and host welcome events for new families over the summer.
Acts as a resource and active collaborator to staff, faculty, Counselors, and the community.
  • Consults with, and meets regularly with faculty to understand the curricular experience at Groves Academy.
Education and Experience
  • Experience working with or working in an environment serving students with learning disabilities.
  • Previous experience in admissions or sales preferred.
  • Previous work experience in an independent school is preferred.
  • Experience working with a CRM system such as Salesforce is preferred.
Knowledge, Skills & Abilities
  • Knowledge of Microsoft applications such as Word, Excel, PowerPoint, and Outlook and familiarity with the Google suite.
  • Able to demonstrate a strong understanding of the local educational community. Able to collaborate and network with individuals, families, schools, and community organizations.
  • Excellent interpersonal skills to interact effectively with a variety of people and personalities inside and outside the organization.
  • Able to plan, prioritize, coordinate, and manage own work in a fast-paced environment. Able to work unsupervised, make high-level decisions independently, and solve problems effectively and creatively.
  • Able to display high levels of customer service, responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to the organization, as applicable.
  • Ability to read, analyze, and interpret psychological evaluations, IEPs, 504 Plans and related documentation.
  • Knowledge of and sensitivity to the special needs of students.
